Choosing the Topic That Will Actually Fill Seats

The wrong way to pick a webinar topic: what does our team want to talk about?

The right way: what question is our ICP actively asking right now that we’re uniquely positioned to answer?

AI can help here. Feed it:

  • Your best-performing content from the last 12 months (by traffic, engagement, or pipeline influence)
  • Questions that come up most often in your sales discovery calls
  • Questions from your email list or community
  • Trending topics in your industry

The difference between a 200-registrant webinar and a 800-registrant webinar is usually the topic and title, not the promotion budget.

  • Segment: highly engaged (asked a question or stayed full duration) vs. passive attendees

  • Passive attendees: the recording + a key takeaway summary + a CTA relevant to where they are in the funnel

For no-shows:

  • The recording + a “you missed this but here’s the 3-minute version” summary AI generated from the transcript
  • No-shows who registered still expressed intent — follow up within 48 hours

Measuring Webinar ROI

Vanity metrics: registrant count, attendee count, average watch time.

Business metrics:

  • Attendees who booked a demo or started a trial within 30 days
  • Opportunities created from webinar leads
  • Revenue influenced by webinar attendance

Track at the individual level in your CRM. A webinar that had 150 attendees but generated 12 demo bookings is a better investment than one with 400 attendees and 3 bookings.
